Client Services Associate

DEPARTMENT: CLIENT SERVICES

The Opportunity:

Helomics is an Integrated Clinical Contract Research Organization located in the Lawrenceville neighborhood of Pittsburgh, PA. Helomics mission is to improve the standard of care for cancer patients through innovative research and development partnerships with pharmaceutical, diagnostic, biotechnology, and academic organizations, leading to better and more personalized treatments and diagnostic technologies for human disease. Helomics’ CLIA-certified lab provides clinical testing that assists oncologists and surgeons in individualizing patient treatment decisions.

 

Duties and Responsibilities:

The Client Services Associate position is an entry level position responsible for supporting the efforts of our Client Services department. Well-developed communication, organizational and data entry skills, including accuracy and typing speed, are necessary for this position.  The Client Services Associate will be responsible for, but not limited to, the following duties:

 

  • Answer inbound calls from clients, obtain information for return calls, or transfer caller to the appropriate contact within the organization

  • Detailed and accurate data entry

  • Precise documentation of client interactions in the databases available

  • Facilitate communications between physicians' offices and facilities to obtain required patient information within designated time periods to avoid delays in specimen testing, reporting and billing processes (via calls, emails, and/or faxes)

  • Assist the Client Services Manager and Coordinators as needed to complete requests and projects in a timely manner

  • Effectively and professionally communicate with customers, external Helomics employees in the field and internal departments such as the Laboratory, Clinical Information Management, Marketing, and Managed Care Financial Services teams.

  • Scan, index, and accurately import documents into an electronic patient record system

 

Qualifications:

  • Education: 

    • Bachelor’s degree required

 

  • Experience

    • 2-3 years related experience in an office, call center or customer service environment; or equivalent combination of education and experience

    • Previous customer service experience in a clinical laboratory office, medical office, or hospital office setting strongly preferred

    • Experience with managing electronic patient charts

 

  • Required Skills:

  • Efficient problem-solving methods with the ability to make sound decisions

  • Able to follow instructions and direction from management

  • Productive and self-driven to meet deadlines on or ahead of schedule

  • Adaptable to changing requirements and priorities

  • Able to work successfully with employees at all levels of the organization

  • Proficient computer skills, particularly using:

    • Microsoft Office: Outlook, Excel, and Word

    • OnBase or equivalent electronic record database

  • Able to type 40-60 wpm
